Privacy Policy

Your data, handled with care.

This policy explains what personal information CloudPMO (Pty) Ltd collects through the CloudPMO website and platform, why, and what rights you have under the Protection of Personal Information Act 4 of 2013 (POPIA).

Version 1.0.0, effective 12 October 2026. This policy describes how CloudPMO handles personal information on the website and platform.

1. Who this policy covers

Roles under this policy

CloudPMO is operated by CloudPMO (Pty) Ltd ("we", "us"). Organisations ("Customers") create a CloudPMO tenant and invite their own staff and contractors ("Users") into it. Visitors to cloudpmo.co.za are "Visitors".

  • We are the responsible party (POPIA) / controller (GDPR) for personal information about Visitors, prospective customers, and the account and billing contacts of Customers.
  • The Customer is the responsible party and we are the operator (POPIA section 20–21) / processor (GDPR Article 28) for personal information that Users enter into a tenant, such as names in resource assignments, task comments, and RAID items. We process that data only on the Customer's instructions.
  • If you are a User and want to exercise rights over data inside your organisation's tenant, contact your tenant administrator first. We will assist them as required by our agreement with the Customer.
2. What personal information we collect

Only what the product needs

We do not collect payment card numbers, advertising identifiers, or precise device location, and the website and product do not run third-party advertising trackers. Optional Google Analytics runs on the public website only after consent and is never loaded in the CloudPMO application.

Account & identity

Name, work email, your identity provider object ID, tenant membership and role — received through single sign-on with Microsoft Entra ID. We never receive your password.

Customer Data

Project plans, tasks, resource assignments, risks, comments and files your team enters or imports. Controlled by your organisation.

Contact & billing

Name, email, company and message from the contact form; billing contact, invoice details, and transaction or subscription references returned by Paddle for international purchases or Paystack for South African purchases.

Technical & telemetry data

IP address, browser type, timestamps, pages requested, error reports and audit-log events. Needed to run, secure and troubleshoot the service.

Website analytics

Page-view measurements from Google Analytics on the public website after you accept analytics. The application does not send events to this property.

3. Why we process it

Purposes and lawful justification

POPIA section 11 requires a justification for every processing activity. Ours are set out below.

Purpose What we use Justification (POPIA s11)
Provision — creating your tenant, authenticating Users, storing and displaying Customer Data, providing support Account & identity, Customer Data, contact details Performance of a contract (s11(1)(b)); Customer's instructions as operator
Billing — invoicing, collecting payment, tax records Contact & billing data, Paddle or Paystack transaction and subscription references Performance of a contract; legal obligation (s11(1)(c)) for tax and accounting records
Telemetry and security — monitoring availability, detecting abuse, investigating incidents, keeping audit logs Technical & telemetry data, audit-log events Legitimate interest (s11(1)(f)) in a secure, reliable service; legal obligation to safeguard data (s19)
Optimize — understanding which features are used so we can improve the product Aggregated, de-identified usage events Legitimate interest (s11(1)(f)); no individual is identifiable in the result
AI-assisted features — optional suggestions, summaries and risk signals, when a tenant administrator enables them The project data needed for each request, such as task, RAID and comment text Customer's instructions as operator; performance of a contract (s11(1)(b))
Website analytics — page-level visit counts on the public marketing website Optional Google Analytics page views, page location, referral source, browser and device information, your IP address (used by Google for approximate location) and a random cookie identifier after consent Consent (s11(1)(a) and s69), requested through the Cookie & Consent Policy
Communication — responding to enquiries, service notices, and (with consent) product news Contact details Contract or legitimate interest for service notices; consent (s11(1)(a) and s69) for marketing, withdrawable at any time
4. Who we share it with

Operators and other recipients

We do not sell personal information. We share it only with operators that act on our instructions, independent recipients that act under their own legal obligations, and authorities where the law requires.

  • Microsoft Azure (Microsoft Corporation and its South African affiliate) — cloud hosting and infrastructure for the website and platform, including application hosting, database storage, backups, form processing and log storage. Platform and database processing stays in Azure's South Africa North region; no cross-border transfer basis is needed for that processing.
  • Azure Communication Services (Microsoft Corporation) — sends transactional email (notifications, password-reset and verification mail) on our behalf. Processed within the Microsoft Azure environment under the same Microsoft agreement as our other Azure services; where this processing occurs outside South Africa, we rely on our written contract with Microsoft as the POPIA section 72 transfer basis.
  • Microsoft Entra ID — handles sign-in. Sign-in runs through our Microsoft Entra External ID tenant, operated by Microsoft outside South Africa, using your organisation's work identity; we never receive your password. Our written contract with Microsoft is the POPIA section 72 transfer basis for this cross-border processing.
  • Anthropic (Anthropic, PBC, United States) — AI model provider for optional AI-assisted features (status reports, starter WBS, RAID task suggestions, copilot), processing in the United States. It is used only when a tenant administrator enables those features, and receives only project titles, WBS labels, task titles and RAID titles — the minimum needed for each request. Tenant administrators can switch on redaction, which removes names and free-text titles before data is sent. Every AI-assisted output is a draft that a person must review and confirm before it is relied on, and your data is never used to train Anthropic's models. Our written contract with Anthropic is the POPIA section 72 transfer basis for this cross-border processing.
  • Paddle (the applicable Paddle contracting entity) — acts as our authorised reseller and Merchant of Record. Paddle independently controls the buyer identity, billing, tax, payment, subscription and refund data needed to sell the subscription, issue receipts or invoices, and meet its legal obligations. Its handling is governed by the Paddle Privacy Notice.
  • Paystack (Paystack Payments South Africa (Pty) Ltd) — a South African payment processor for South African purchases, processing within South Africa. Paystack processes buyer identity, payment, transaction, subscription and refund data on our instructions under a written processor agreement, and may process limited information independently to meet its legal obligations. CloudPMO remains the supplier, and Paystack is not a Merchant of Record. Paystack describes its own data handling in the Paystack Merchant Privacy Policy.
  • Google Analytics (Google LLC) — optional website analytics that loads on the public website only after you accept analytics. It receives page-view and technical device data, your IP address and a random cookie identifier for the website and does not receive CloudPMO tenant or application events.
  • Professional advisers and authorities — accountants, auditors, lawyers, and regulators or courts where disclosure is required by law or to protect our legal rights.
  • Business transfer — a successor to our business, on notice to you and subject to this policy.

We will update this list before adding a new operator that processes Customer Data, and Customers under our Data Processing Agreement will be notified in advance with the opportunity to object.

5. Where your data is stored

Hosting location and cross-border transfers

Personal information is stored in Microsoft Azure data centres. The platform application services and its PostgreSQL database are hosted in Azure's South Africa North region. The public website is hosted in Azure's West Europe region. Where we transfer personal information outside South Africa — website hosting, sign-in (Microsoft Entra ID), transactional email (Azure Communication Services), or our AI provider (Anthropic) — our written contract with that provider is the POPIA section 72 transfer basis, as set out against each in section 4 above.

Paddle separately collects and processes buyer transaction data as an independent responsible party/controller under its Privacy Notice and manages its international transfers under its own legal obligations. Paystack processes South African payment data within South Africa as our payment processor, under the written processor agreement named in section 4; no cross-border transfer basis is needed for that processing.

If you accept analytics cookies, Google Analytics 4 sends website usage data (pages viewed, referring page, device and browser details, an approximate location and a random cookie identifier) to Google LLC and its affiliates, which may process it in the United States and other countries where Google operates.

Google acts as our operator under the Google Ads Data Processing Terms, which include contractual safeguards for international transfers (POPIA section 72). Your browser's IP address reaches Google's servers with each request. Google states that Google Analytics 4 does not log or store IP addresses. We keep this data for 14 months. If you reject or withdraw consent, nothing is sent to Google.

For transfers involving Users in the European Economic Area or United Kingdom, we use an applicable lawful transfer mechanism such as standard contractual clauses.

6. How long we keep it

Retention periods

  • Contact form data — 12 months from your last enquiry, then deleted unless you become a Customer.
  • Marketing consent and newsletter data — until you withdraw consent, then removed within 30 days; a suppression record is kept so we do not contact you again.
  • Website analytics — GA4 data is retained for 14 months. The consent choice and GA4 cookies expire after 12 months unless the policy changes first.
  • Account, identity and Customer Data — for the life of the subscription. Available for export for 30 days after termination, deleted from live systems after that, and purged from backups within a further 90 days.
  • Trial tenants — deleted 30 days after the trial ends unless upgraded.
  • Billing records — 7 years, as required by the Companies Act 71 of 2008 and the Tax Administration Act 28 of 2011.
  • Security and audit logs — 12 months, longer if needed for an active investigation or legal claim.
7. How we protect it

Security safeguards

POPIA section 19 requires appropriate, reasonable technical and organisational measures. Our technical measures include tenant isolation, role-based access control, encryption in transit (TLS) and at rest, single sign-on with no password storage, and an immutable audit log. They are described on the Security page. If we become aware of a security compromise affecting your personal information we will notify the Information Regulator and affected parties as required by section 22 of POPIA, and will notify affected Customers within 72 hours.

8. Your rights

What you can ask us to do

Under POPIA (and, where applicable, the GDPR and UK GDPR) you may:

  • Access — confirm whether we hold personal information about you and receive a copy (POPIA s23). We may charge the prescribed fee for copies.
  • Correction or deletion — ask us to correct inaccurate information or to delete information we no longer need (s24).
  • Objection — object to processing based on legitimate interest, and object to direct marketing at any time (s11(3), s69).
  • Withdraw consent — where processing relies on consent, withdraw it at any time without affecting earlier processing.
  • Portability — Customers may export Customer Data from the platform at any time.
  • Complain — lodge a complaint with the Information Regulator (South Africa) at inforegulator.org.za, or with your local supervisory authority if you are in the EEA or UK.

To exercise a right, email privacy@antsprojects.co.za. We will verify your identity, respond within 30 days, and tell you if we need longer. Apart from any prescribed fee for copies, requests are free unless they are manifestly unfounded or excessive. Our PAIA Manual, prepared under section 51 of the Promotion of Access to Information Act 2 of 2000, sets out how to request records and is also available on request from the same address.

9. Cookies and browser storage

Essential by default, analytics by choice

The public website uses essential browser storage for interface preferences and your cookie choice. Google Analytics loads on the website only after you accept analytics and sends page views, not application events. The platform uses browser storage and sign-in cookies required for authentication and security. Details and controls are in the Cookie & Consent Policy.

10. Children and automated decision-making

Not designed for either

CloudPMO is a business tool intended for Users aged 18 and over. We do not knowingly collect personal information from children, and Customers must not invite children into a tenant. We do not make decisions about you based solely on automated processing that have legal or similarly significant effects (POPIA s71).
