Cancellation & Refund Policy

Cancel any time. Keep access to the end of your paid term.

This policy explains how to cancel a CloudPMO subscription, when cancellation takes effect, and when a refund is available.

Version 1.0.0, effective 12 October 2026. CloudPMO is in pre-launch and no subscription can be purchased yet.

1. Summary

The short version

  • Trials cost nothing, need no payment method, and end on their own. There is nothing to cancel.
  • Paid subscriptions can be cancelled at any time. You keep full access until the end of the term you have already paid for. You are not charged again.
  • Fees already paid are not refunded, except in the cases listed in section 4 or where South African consumer law requires a refund.
  • You have 30 days after your subscription ends to export your data.
2. How to cancel

Two routes, same effect

  • Self-service. Use the manage-subscription link in your payment-provider receipt or customer portal: Paddle for international purchases or Paystack for South African purchases. Tenant settings may provide the same route. You will receive confirmation of the cancellation and the date access ends.
  • By email. Send a request from the registered tenant administrator's email address to legal@antsprojects.co.za. We confirm within two business days.
  • To stop a renewal, cancel before the renewal date shown in tenant settings and on your last invoice. Cancellations received after a renewal has been charged apply to the following term.
  • Cancelling a subscription does not delete your tenant immediately. See section 6.
3. When cancellation takes effect

End of the current paid term

  • Monthly plans — access continues until the end of the current monthly billing period. No further charges are made.
  • Seat reductions — take effect at the next renewal. Seats added mid-term are charged pro rata and are not refundable if later removed.
4. Refunds

When a refund is available

Subscription fees are paid in advance for the term you select and are non-refundable, except in the following cases:

  • Duplicate or erroneous charges — charged twice for the same term, or charged after a confirmed cancellation. Refunded in full.
  • Our termination for convenience — if we end your subscription under section 12 of the Terms other than for your breach, we refund the prepaid fees for the unused period.
  • Material non-performance — if the Service fails to perform materially as described for your plan and we cannot fix it within a reasonable time, we refund fees for the affected period, as set out in section 13 of the Terms.
  • Statutory cooling-off. Where section 44 of the Electronic Communications and Transactions Act 25 of 2002 applies and the Service has not begun with your consent before the seven-day period ends, you may cancel without reason or penalty within 7 days after concluding the agreement. Amounts paid are refunded in full within 30 days after cancellation.
  • Consumer Protection Act fixed-term rights. If you are a natural-person consumer and section 14 of the Consumer Protection Act 68 of 2008 applies, you may cancel a fixed-term subscription on 20 business days' written notice. We refund the unused portion, less a reasonable cancellation charge determined in line with the Act.

No refund is given for partial use of a term, for unused seats, for lack of use, or for a change of mind after the statutory period. We do not offer promotional guarantees beyond the rights described here.

5. How refunds are paid

Timing and method

  • International refunds are handled by Paddle under its Buyer Terms and Refund Policy. Mandatory consumer rights under South African law are not limited by Paddle's policies.
  • South African refunds are approved by CloudPMO and returned through Paystack. Paystack is a payment processor, not a Merchant of Record. CloudPMO's accountant manages the related South African reconciliation and VAT/tax treatment.
  • Approved refunds are returned to the original payment method where possible. The payment provider aims to issue the refund within 14 days after approval, but your bank or card issuer may take longer to display the credit.
  • The transaction currency is shown at checkout. Currency conversion, bank, card-issuer or other third-party charges are outside our control.
  • For international purchases, request a refund through the purchase-management link in your Paddle receipt, at paddle.net, or by emailing legal@antsprojects.co.za. For South African purchases, email legal@antsprojects.co.za with the Paystack reference, invoice number and reason.
6. Your data after cancellation

Export window and deletion

  • For 30 days after your subscription ends, tenant administrators can sign in with read-only access to export Customer Data using the platform's export features, or ask us for a copy in a common machine-readable format.
  • After the 30-day window we delete Customer Data from live systems, and purge it from backups within a further 90 days, except where retention is required by law. See the Privacy Policy.
  • You may reactivate a cancelled subscription within the 30-day window without loss of data.
7. Suspension and termination by us

What happens if we end the subscription

If we suspend or terminate your subscription for non-payment or for breach of the Terms of Service, no refund is due and the data export window in section 6 still applies, unless the law requires us to withhold access. If we terminate for our own convenience, section 4 applies.

8. Disputes

If you disagree with a decision

Reply to our decision email and ask for it to be reviewed by a director of the company. If you are still not satisfied, you may use the dispute process in section 16 of the Terms or, as a consumer, approach the Consumer Goods and Services Ombud or the National Consumer Commission. Chargebacks raised with your bank without first contacting us may result in suspension of the tenant while the dispute is resolved.
